Purchasing Agent

RESPONSIBILITIES:

The Purchasing Agent reports to the General Manager and is responsible for identifying suppliers, researching goods and services, processing purchase orders, negotiating with suppliers, tracking orders, creating, and maintaining an inventory, quality assurance, and verifying delivered items.

To be successful as the Purchasing Agent, you should be able to critically assess suppliers, products, and services, and negotiate the best possible prices according to budget. Ultimately, the Purchasing Agent has a keen sense of business and maintains meticulous transaction records. Knowledge of sales and marketing principles is advantageous.

ESSENTIAL FUNCTIONS:

  • Use ERP system to compile information and records to prepare purchase orders.
  • Use ERP system to check inventory records to determine if material on hand is sufficient quantity.
  • Researching and comparing suppliers, goods, and services.
  • Selecting the most suitable suppliers in terms of reliability, product quality, and cost-efficiency.
  • Monitoring inventory levels and determining purchase needs.
  • Requesting cost proposals and negotiating contracts and prices.
  • Preparing and processing purchase orders.
  • Maintaining records of all transactions, purchase orders, receipts, and payments.
  • Scheduling and verifying purchase deliveries.
  • Building and maintaining positive, long-term supplier relations.
  • Arrange transport of goods and track orders to ensure timely delivery.
  • Analyze market trends and apply this knowledge to make insightful buying decisions.
  • Prepare reports and communicate to suppliers and other company personnel.
  • Visit current and potential suppliers to audit capabilities.
  • Negotiate freight and payment terms with suppliers.
  • Conduct review of costs and make recommendations for corrective action as required.
  • Secure credits and back charges when applicable from vendors and suppliers and follow up with corrective actions.
  • Other duties as assigned

QUALIFICATIONS AND COMPETENCIES:

  • High school diploma or GED required.
  • Degree in business administration, procurement, or a related field preferred.
  • Previous experience as a purchasing agent or in a similar position.
  • Excellent computer skills (Excel, Microsoft Word, Office).
  • Excellent communication and negotiation skills.
  • Ability to perform mathematical calculations pertaining to management of inventory and purchasing control operations
  • Strong organization and documentation skills.
  • Strong research and analytical skills.
  • Demonstrate good judgment and reasoning in investigating and solving problems.
  • Respecting the confidentiality of customers, suppliers and company information.
  • Must be detailed oriented and able to complete assigned tasks with accuracy
  • Strong time management skills and ability to multi-task and prioritize work
  • Able to work as a member of a team and independently
