Conference Room Reservation and Rental Agreement

Terms

  • Business Advancement Center presented by IncredibleBank Foundation room rental is available only to member businesses of the Greater Wausau Chamber of Commerce (GWCC).
  • All businesses must complete a room rental agreement form.
  • Room rental shall be on a first-come, first serve basis once rental agreement is on file.
  • Room availability is Monday-Friday 7:30 a.m. - 4:00 p.m. 
    • Half-day options: 7:30 a.m. - 11:30 a.m. or 12:00 p.m. - 4:00 p.m.
    • Full-day: 7:30 a.m. - 4:00 p.m.
  • The GWCC reserves the right to terminate the contract as we see fit at any time.
  • Payment is due 10 days prior to the day of the conference room use.
  • The fee is $300 for a half day and $500 for the full day.
  • No refund will be issued for late cancellation of 10 days or less prior to the date reserved.
  • The maximum occupancy of the Conference Room is 24 people.

Specifications

  • The Depot is a smoke-free building.
  • The room has a 95” display screen.  You can use your own laptop to project to the screen.
  • The room has a SoundStation conference phone available for use.
  • The room has guest WIFI available.
  • There are 12 tables and 24 chairs. The room fits 24 comfortably. Additional tables and chairs are not available.
  • There is no kitchen available for use and we do not provided lunches. The Event Coordinator will provide a list of caterers in the area if you would like to serve lunch or light refreshments.  
  • Two pots of coffee and bottled water will be provided, if requested.
  • The room must be left in a neat, clean, and orderly condition.
    • The tables and chairs should be returned to their original location and wiped clean using the cleaning products provided.
    • Garbage should be taken out to the dumpster.
    • Coffee must be emptied and turned off before leaving.
    • If these conditions are not met, a Room Clean-up Fee of $200.00 or the actual cost of cleaning, whichever is higher, will be charged and notice will be given to the group.
  • There is an ADA accessible entrance directly into the conference room at the back (south side) of the building.
  • Parking is available in the lot on the back (south side) of the building.  Do not park directly in front of the building unless you are utilizing a handicap parking space.                       
  • Renters are responsible for any damage to the facility and/or contents of fixtures. All damage must be reported to GWCC staff immediately.
  • Renters understand that nothing shall be attached to the walls, ceiling, or any of the fixtures.
  • GWCC does not provide any material or equipment other than what is listed in this agreement.
  • It is understood that the GWCC is in no way responsible for any personal injuries, property damages or other liabilities that may be incurred during use of their facility. Renter agrees to release indemnity and hold the GWCC harmless of any such damages.

By submitting this form the member hereby agrees to the rental policies set forth. If violation to any of these conditions set forth in this agreement occurs, the member may be subject to monetary penalties and will lose the privilege of renting this meeting facility in the future. 

Once the form is received, we will check to see if your date is available.  If you do not receive a reservation confirmation and invoice your room is not reserved.
